Nominations for Apprentice of the Year

Robert Johnson

Said the following about Ryan Gillen:

“Ryan Gillen joined MTR Crossrail in August last year and has continuously delivered an excellent quality of work since he started.

The two projects that Ryan has been working on, would not have gone so well, without his reliability and outstanding contribution.

First, Ryan has been supported our business to revamp the existing Business Management System. To do so, he has been working with all functions of the organisation demonstrating his personal skills such as his strong capability to listen to people’s needs, develop team working, and make idea come reality.

Ryan has designed each process of the company using “tube map” which makes the new business management system much more user friendly.

While creating these process maps, Ryan has ensured that consistency was accurate in each map especially in terms of format, terminology used across them and interfaces that needed to be shown between processes.

As result of Ryan’s creativity, the Business Management System looks like more innovative and more attractive for users.

Ryan has been very patient while building up each of the map. It was a thorough journey to get final draft of each process as lots of changes were required from the first draft. It was essential to come up with a “lean” process map which would be easy to read for everyone, even those new comers who did not know anything about how a TOC operates or anyone without any technical skills.

Once high level process map was created, Ryan has supported the functions to develop flowchart to clarify who does what within each activity of the process. This new way of developing procedures will eventually make the business more efficient. It will be easier for staff to understand the MTR way of working and get a consistent and effective implementation across the business. Most importantly it will support the business to identify wastage and area for improvement.

Ryan has created the procedure templates to be used and has supported individual to work out their flowcharts.

The new templates and flowcharts are very well received by the staff as they make duties and interfaces cross functions clearer.

Ryan has also helped develop a few key project management tools to ensure the project would be delivered on schedule (e.g. BMS overall Programme and 3 months detailed Programme, Progress up-to-date chart, Process Documentation Review Tracker…). By doing this, Ryan has surely gained new skills in terms of project management.

The second project that Ryan has worked on, was to revamp the existing Process Effectiveness dashboard in line with the new Business Management System.

Once again, Ryan has demonstrated his creativity and his capability to get the job done as requested.

Ryan has established the new KPI Dashboard Framework to match the structure and the format of the new Business Management System. Then Ryan has liaised with the relevant people to gather the data in order to keep the KPI dashboard up-to-date on periodic basis. Ryan has also worked on a dashboard at a glance using traffic light to warn process owners that corrective action is required when target is not met and/or the trend goes down over the last 3 months.

When people do not respond on time, Ryan contacts them over the phone or manages to meet them directly. This shows that Ryan is able to adjust his communication style depending on situations.

To sum up, I would say that Ryan is extremely responsible and reliable person and it is a great pleasure to work with him on a daily basis.

Ryan has gained confidence and assertiveness over the last year.

Ryan always listens carefully the requirements and ask questions to confirm or clarify what it is expected from him. Ryan makes eye contact while asking for something and uses a more loudly tone of voice to emphasize any important information that he wants his interlocutor to pay attention.

Ryan often makes suggestions to deliver the work in the best way and in very high level of quality.

The feedback from the people Ryan has been working with is always very positive and we can often hear from them: “Well done Ryan”, “Really good piece of work Ryan”, “Excellent work”…

Ryan won the MTR Crossrail Apprentice of the Year Award on the 25th May 2017 which was highly well deserved.

Ryan is a valuable asset and unquestionably the employee you need on your team.

Ryan’s career is surely promising. Hoping this award would help Ryan to get recognition and support his career development in a long term plan.“

Said the following about Ryan Gillen:

“Ryan is the apprentice for both Quality and the Control room. This means he has had two lots of colleagues to get to know and two managers to please! He has managed this very well, dividing his time between the two areas as well as finding time to study and revise for his exams. Both the Control and SQE team have commended Ryan's willingness and ability to get involved and help with any task he is given.“

Katherine Howe

Said the following about Ryan Gillen:

“Ryan has become a valuable member of our team within a short space of time. Since joining us he has spent time learning about all the roles within the Control Room. He has particularly focused on learning about Customer Information - if you are standing at one of our stations you may get to hear him making a great announcement over the PA.

Ryan has taken on the writing of the Control newsletter, adding his own sense of humour and even a Wenger in/out table!

Whilst working on his apprenticeship he has also designed a new phone directory which will enable staff to be able to obtain the contact details of required staff members on the Elizabeth line.

Ryan's hard work and dedication has already been recognised as apprentice of the year in the MTR Crossrail awards.“
